Forms of address / Macros

Macros can be used as placeholders in document templates (emails, documents). They are replaced with actual data once the document is generated. After activation, the WBS contains specific system macros - some for entire documents, others for forms of address in documents to personalize these documents.

Translating macros

a) Click on Settings (cogwheel icon) and select the General tab. 

b) Select the Forms of address / Macros tab.

c) Edit the text of the macro until it is ready for use in the document. Most of the time, the text needs to be translated into your preferred language.

d) Update your entries.

Adding or editing macros

e) If necessary, add a new form of address macro - e.g. HELLO.

f) Use the recycle bin icon to delete a macro. N.B.: If this macro is already being used as a placeholder somewhere, it will remain active in the respective document as placeholder description.

g) Use the EDIT button to edit a macro.

 

Configuring a salutation macro

a) Assign a name to the macro.

b) Here you can formulate the wording that is to be generated by the macro.

c) Select the field to be used by the macro for the form of address text.

d) Save your entries.

Adding additional forms of address

a) The EDIT button can also be used to change the form of address description.

b) Use the recycle bin icon to delete a form of address. However, please note that the forms of address initially contained in the WBS are part of the system and cannot be deleted. Trying to delete them will prompt an error message.

c) Click +Add form of address.

 

d) Formulate the form of address.

e) Save your entries. 

 

Extended form of address list

f) The new form of address now appears as a new entry in the form of address list. 

 

Using the form of address

g) The new form of address will now also be displayed in the drop-down menu that appears in the CRM when editing contact data.
