Select customer

To access the customer overview, select the desired customer under "Search" in the table of contacts. Simply click the line displaying the customer details to open the customer overview.

Customer overview

The customer overview displays all the relevant details as per your settings. In the CRM settings, you can specify any additional details you would like displayed in the customer overview.

For a detail view of the respective additional details (gray buttons in the top bar), please refer to the instructions:

a) Use the 'back' button to return to the search.

b) Data changes, the sending of emails and letters, address, additional addresses (e.g. a different delivery address) and banking details.

c) Uploaded documents that are available for download.

d) Here you can view and enter comments and remarks.

e) View the groups to which the customer has been assigned.

f) Here you will find the messages from the customer that have been logged in the CRM.

g) Invoices, credit notes, offers etc. with their current status are displayed here.

Functions above the address

a) Click 'Edit' to modify the customer data.

b) Use the letter symbol to send emails directly.

c) Use the arrow symbol to select an email template. This allows you to immediately send your customer a predefined email.

d) Use the PDF symbol to create a PDF document from a template to send to your customer.

e) Use the recycle bin icon to delete the customer. N.B.: You cannot delete a customer who has already been sent a Factura document (e.g. an invoice). You can, however, use the group management to indicate that this customer should not receive any further information.

f) The lock symbol allows you to change the customer password.

g) Clicking here will take you to the customer admin.

Banking details

Click the 'Banking details' button to enter banking details.

This opens the following window.
a) Select the payment type: SEPA, PayPal or invoice

b) Account holder

c) Account number and clearing (bank code) - these are not necessary if you have an IBAN and BIC.

d) Bank name

e) RIB code and GUI code (only for France)

f) VAT number, if your customer has a VAT ID.

g) IBAN and BIC

h) Click payment type SEPA, if you have a SEPA direct debit mandate from the customer.

i) The date on which you received the SEPA mandate

j) The date of the first SEPA direct debit

k) Update and save

Additional addresses

Click the 'Additional addresses' button. Here you can enter the delivery and billing addresses, if these differ from the customer address.

Examples:
a) The delivery address and billing address are not identical.
b) The customer is the child taking dance lessons. But the parents are paying the bill.


The window on the right opens.

Click the 'Additional addresses' button to enter an additional delivery or billing address for the customer.

An input screen opens, where an additional address can be entered. After entering the data, you can specify for what purposes the address is to be used:

a) Delivery address: Factura will display this address option when generating a delivery note.

b) Billing address: Factura will display this address option when generating an invoice.

Please save your changes.

Detail pages with additional information

a) The overview displays the last five pieces of information. The detail pages with all the messages, documents etc. can be accessed via the dark gray buttons. Here are the instructions for the detail pages: Detail pages


b) Reference banners can be created directly in the WBS settings. These banners are linked to accounting operations and are only available if the Factura module has been activated. You can, for example, choose to have the "SLA Gold" banner displayed here once the support contribution has been paid. Here are the instructions for creating such banners:
